How to create an invoice

Updated 2026-08-18

This walkthrough follows the actual controls in the builder, top to bottom. Selector names in parentheses are the builder's real data-testid attributes — useful if you're scripting the page rather than clicking through it by hand (see automating invoices with agents). Prefer to start from a filled-in example instead of a blank form? Browse example invoices across common freelance and small-business scenarios and open one directly in the builder.

1. Set up your business profile (once)

Open Settings (settings-open) and fill in your business name (biz-name), address (biz-address), tax ID (biz-tax-id), email (biz-email), and phone (biz-phone). You can add a logo (logo-input, PNG or JPEG under 300 KB — remove it again with logo-remove), set an invoice number prefix (number-prefix), pick a default currency (default-currency) and default tax rate (default-tax-bps), choose an accent color (accent-color), toggle the "Made with facturium.app" footer (footer-toggle), and pick a paper size (paper-size, A4 or Letter). This profile is reused by every new invoice until you change it.

2. Pick or add a client

In "Bill to," either choose a saved client from the dropdown (client-pick) or type a new one into name (client-name), address (client-address), and email (client-email). Click "Save client" (client-save) to reuse it next time.

3. Add line items

Each row (item-row) has a description (item-desc-<n>, up to 200 characters), quantity (item-qty-<n>), unit (item-unit-<n>, optional — e.g. "hours"), and rate (item-rate-<n>). Click "Add item" (item-add) for more rows, up to 30, or remove one with item-remove-<n>. The Amount column and the totals bar (totals-bar) recompute live as you type.

4. Set currency, tax, and discount

Pick a currency (currency-select) and a tax rate (tax-bps). Choose a discount type (discount-kind: none, percent, or fixed amount) and, if you picked one, enter its value (discount-value).

5. Fill in the details

Set the issue date (issue-date) and choose "due on receipt" or a specific due date (due-mode, due-date). The invoice number (invoice-number) is auto-assigned on save but editable first. Add a PO/reference (po-ref), payment instructions (payment-text — see getting paid), notes, and terms.

6. Check the preview, save, and download

The preview pane (preview-pane) is a live, representative mirror of the PDF layout — not pixel-identical, but close. When it looks right, click "Save invoice" (save-invoice), then "Download PDF" (download-pdf) or "Print" (print-invoice). facturium can't attach the PDF to an email for you; download it and attach it yourself.

7. Manage saved invoices later

Your saved invoices (invoice-list, each row invoice-row) can be reopened, duplicated (duplicate-invoice), marked sent (mark-sent) or paid (mark-paid), or deleted while still a draft (delete-invoice). Once an invoice is marked sent, its content is locked — duplicate it if you need to send a corrected version.
